1Introduction
This page lists every outside company (a “sub-processor”) that handles personal data for VitaMedas (operated by VitaMedas, Inc., commercial name VitaMedas). For each one it says what the company does, what data it receives, where it is, and the legal basis for sending data to it.
The list covers both of our services: the Vita app (iPhone, Apple Watch and Android) and vitamedas.com (the Health records vault, doctor links and intake links). It is also the list referred to in our Data Processing Agreement.
2What a sub-processor is
A sub-processor is any third party (a “sub-veri işleyen” in KVKK terminology) that VitaMedas engages to process personal data on behalf of a controller-customer, where VitaMedas itself acts as processor. The concept is defined in Article 28(2)–(4) GDPR and elaborated by EDPB Guidelines 07/2020. Under KVKK Article 12, our equivalent obligation is to ensure that anyone we engage to handle personal data on our behalf has signed sufficient technical and organisational measures (TOMs). For the Vita app, where we are the controller, we use the same word for the companies that process data for us.
The distinction we maintain on this page:
- Sub-processor
- A third party we engage to process personal data for us or on a customer's behalf (Article 28 GDPR). Listed in Section 5. Subject to advance notification and right of objection.
- Independent controller
- A third party that, by virtue of its role, determines its own purposes and means and is not a VitaMedas sub-processor. App Store / Google Play payment processing is a classic example. Listed in Section 5.1 for transparency but excluded from the formal Article 28 chain.
- Source you connect
- A service you choose to connect so that Vita can read your own records, such as Apple Health or Medicare. It sends data to you; we do not send your data to it for processing. Listed in Section 5.2.
- Tool / vendor (no personal data)
- Software we use internally where the vendor neither stores nor processes personal data of users (for example our source-code repository, which stays on our own machines). Not listed here.
3What each company can read
3.1The Health records vault
The vault splits the world into two regions: the trusted region (your devices, where your key lives) and the untrusted region (everything else, including VitaMedas and every sub-processor below). Vault files leave the trusted region only as ciphertext. They are decrypted only on a device where you have unlocked the vault.
So, for vault files, a hosting provider that was forced by a court order to hand over data, or that was itself compromised, could give up only encrypted blobs whose keys it has never seen and cannot get from us.
The exceptions are actions you choose:
- AI description, summary or translation of a vault file. Your device decrypts that one file and sends it through our server to Google Gemini. We keep only a hash of it.
- Letting Vita learn from a vault document. A summary of it (findings, values, medicines, report text) goes to the Vita app server and is stored there as readable facts.
- A doctor link. Anyone who holds the link and its code can read the records you chose, until the link expires or you revoke it.
3.2The Vita assistant
The Vita assistant is not end-to-end encrypted. An AI model cannot answer text it cannot read. Your questions and Vita’s answers, voice transcripts, Vita’s memory, profiles, children’s records, medicines, period data, visit pages and account data are stored on our app server in readable form. Documents and photos attached in chat are stored encrypted with a key our server holds, so our server can read them to answer.
Data sent between your device and our servers is encrypted in transit. Readings from Apple Health or Health Connect, hospital records if you connect a hospital, and Medicare records when that becomes available, stay on your phone; a short summary goes with a question so Vita can answer it.
4How we vet a sub-processor
Before we use a company that will receive personal data, we look at:
- whether it offers a written processing agreement with obligations equivalent to those in Article 28(3) GDPR;
- its technical and organisational measures (Article 32 GDPR / Article 12 KVKK), including encryption, access controls, logging and breach notification;
- certifications or attestations where they exist (ISO/IEC 27001, SOC 2 Type II, etc.);
- where it stores data, and a lawful transfer mechanism where data leaves the EEA, the UK or Türkiye (Standard Contractual Clauses, an adequacy decision, the EU-US Data Privacy Framework, or the UK International Data Transfer Addendum);
- its record of public security incidents.
Where a company does not offer a processing agreement, we say so in the table below and limit what we send to it.
5Current sub-processors
The following sub-processors are engaged as of the effective date above. This list is binding on VitaMedas and is the “list” referenced in the Data Processing Agreement.
| Vendor (legal name) | Role | Data accessed | Location | Transfer mechanism |
|---|---|---|---|---|
| Hetzner Online GmbH Industriestr. 25, 91710 Gunzenhausen, Germany | Hosts both of our servers (the Vita app server and the vitamedas.com server) and our backups. | Everything stored on our servers. For the vault, this is ciphertext only. For the Vita app, it includes readable data: questions and answers, memory, profiles, medicines, period data and account data, plus documents attached in chat (stored encrypted with a key held on our server). Server logs (IP address, request, status). | Helsinki, Finland (EU) | EEA — no transfer mechanism required. Hetzner DPA executed; ISO/IEC 27001 certified. |
| Cloudflare, Inc. 101 Townsend St, San Francisco, CA 94107, USA | Network protection: CDN, firewall, DDoS protection, bot management. Encrypted connections (TLS) from your device end at Cloudflare. | IP addresses, request metadata, bot-management cookies. Because TLS ends at Cloudflare, app traffic, including questions and answers, passes through Cloudflare's network on its way to our servers. Vault files pass through as ciphertext only. | Global edge, primary egress US | EU SCCs (2021/914 modules 2 & 3); UK IDTA; Cloudflare DPA; EU-US DPF self-certification. |
| Google LLC — Google Gemini API 1600 Amphitheatre Pkwy, Mountain View, CA 94043, USA | Writes Vita's answers and picks the facts Vita remembers. Reads a person's own words to find details to save on a profile, and to see whether they are asking the app to change something. Turns voice questions into text and reads answers aloud. Reads documents, photos and medicine-box or prescription scans you send. Writes an AI description of a vault file when you ask for one. We use the paid API; Google does not use this data to train its models. | Each question with the context needed to answer it: Vita's memory, the profile of the person the question is about, earlier turns in the conversation and, if connected, a short Apple Health or Health Connect summary, a Medicare summary when available, and a short summary of hospital records with the lines a question is about. From iPhone app version 3.6.3, the words of each message and of anything typed into a Vita card, with the person's name and how they relate to the account holder, for those small reading calls, which do not see records. Documents and photos attached in chat, sent again when Vita reads a saved document again. Voice recordings, for transcription. A vault file only when you ask for an AI description of it. PDFs, and images over 9 MB, are uploaded to Google's file service, which deletes them after about 48 hours. On a paid plan, when a later report is read, the person's earlier values for the same tests. | United States | EU SCCs; UK IDTA; EU-US DPF self-certification; Google Cloud DPA. |
| Microsoft Corporation (Azure AI Speech) One Microsoft Way, Redmond, WA 98052, USA | Reads Vita's answers aloud in voice mode when Google's voice does not answer in time (text-to-speech). Turning your speech into text is done by Google Gemini (above), not by Microsoft. | Only the text of Vita's answer that is to be spoken. Azure Speech is called once per answer. Microsoft's Azure AI Speech terms state that it does not keep the text or the generated audio. | European Union (West Europe region) | EU SCCs; UK IDTA; EU-US DPF self-certification; Microsoft Products and Services DPA. |
| Google LLC — Firebase 1600 Amphitheatre Pkwy, Mountain View, CA 94043, USA | Sign-in (Firebase Authentication) for Apple, Google and email accounts. Push notification delivery (Firebase Cloud Messaging). App analytics (Google Analytics for Firebase), only if you allowed analytics in the app. | Sign-in tokens, email address, sign-in IP address, device push token. If you allowed analytics: usage events (for example that an answer started, or that the plans screen was shown, with the life-stage group and app language) and device and app details. Never the words of a question, an answer or a document. | USA | EU SCCs; UK IDTA; EU-US DPF self-certification; Google Cloud DPA. |
| Apple Inc. One Apple Park Way, Cupertino, CA 95014, USA | Sign in with Apple; Apple Push Notification service (APNs). | Sign in with Apple token, private-relay email address if you chose it, device push token, and the notification itself. Notifications are written so they do not name a health topic, a medicine or a result. | USA | EU SCCs; UK IDTA; Apple Developer Program Licence Agreement & associated data-protection terms. |
| MXroute LLC 390 Main St, Harleton, TX 75651, United States | Transactional email delivery (sign-in links, security alerts, account and subscription notices, sub-processor change notices). | Recipient email address, subject line and message body. Messages are templated and contain no health content. | United States (Texas) | Article 49(1)(b) GDPR — the transfer is necessary to perform our contract with you, because the message is one you asked us to send to you. MXroute is a US company with no EU establishment and does not offer a data-processing agreement. |
| Telegram (Telegram Bot API) | Internal operations alerts to our own team: app errors, security events, new subscriptions. | Our internal account number, the account's email address (masked in most alerts), plan and event type. No questions, answers, documents or other health content. | Telegram's servers (location set by Telegram; may be outside the EEA) | No processing agreement or transfer agreement is in place. We limit alerts to the operational data listed and send no health content. |
| Sigstore — operated by The Linux Foundation 548 Market St, San Francisco, CA 94104, USA | Public transparency log (Rekor) for the vault audit log. Gives tamper-evident timestamps. | Once an hour, one signed hash (a Merkle root) covering the new entries in the vault audit log. No personal data, no record content, no account identifiers. | Globally replicated, primary US | Public, permissionless service. No GDPR transfer mechanism required as no personal data is transferred. We keep a local copy of every anchor. |
5.1Independent controllers (listed for transparency)
We do not take card payments ourselves. Subscriptions are sold through the app stores. The stores decide for themselves how they use payment data, so they act as independent controllers, not as our sub-processors. Their own privacy notices govern that data.
| Company | Role | What we receive from it | Location |
|---|---|---|---|
| Apple Inc. — App Store | Sells Vita subscriptions on iPhone and Apple Watch; handles payment, refunds and receipts. | Subscription status: which plan, trial or paid, renewal, cancellation and refund, with Apple's transaction identifiers. Never your card details. | USA |
| Google LLC — Google Play | Sells Vita subscriptions on Android; handles payment, refunds and receipts. | Subscription status: which plan, renewal, cancellation and refund, with Google's purchase tokens. Never your card details. | USA |
5.2Sources you connect (not sub-processors)
- Apple Health (iPhone) and Health Connect (Android) are on your phone. Vita reads them on the phone and keeps what it reads there. A short summary goes with a question so Vita can answer it. We do not send your data to Apple or Google for this.
- Your hospital or clinic (US accounts). If you connect a hospital, it is a source you choose, not a processor. You sign in on the hospital's own page and we never see that password. Your phone reads the records straight from the hospital and keeps them there, sealed. We do not send your data to the hospital.
- Medicare (US Centers for Medicare & Medicaid Services), when available. If you connect Medicare, it is a source you choose, not a processor. You sign in to Medicare yourself and never give us your Medicare password. Our server holds only the access tokens Medicare issues; your claims are fetched when you ask, summarised and kept only on your phone. Disconnecting revokes access at Medicare and deletes the tokens.
6International transfers and safeguards
Where a sub-processor is located outside the European Economic Area, the United Kingdom or Türkiye, we rely on one or more of the following lawful transfer mechanisms, supported by a Transfer Impact Assessment carried out in light of Schrems II (CJEU C-311/18) and the EDPB Recommendations 01/2020:
- EU Standard Contractual Clauses (Commission Implementing Decision (EU) 2021/914, Module 3 — processor to sub-processor), incorporated by reference into the sub-processor’s DPA;
- UK International Data Transfer Addendum issued by the ICO under section 119A DPA 2018, for transfers subject to UK GDPR;
- EU-US Data Privacy Framework certification by the recipient, where in force and not invalidated;
- KVKK Article 9 safeguards for transfers outside Türkiye (taahhütname / signed undertaking framework, or an adequacy decision by the Personal Data Protection Board);
- Supplementary measures as appropriate. For the vault, end-to-end encryption (libsodium) means recipients get ciphertext only. This does not apply to Vita assistant data sent to Google Gemini, which must be readable to write an answer. For that transfer we rely on the mechanisms above and send only what each answer needs.
Our Transfer Impact Assessments are reviewed at least annually and on every change of law, regulator guidance or material incident affecting a recipient jurisdiction.
7Notification of changes
We will give at least thirty (30) days’ advance notice before engaging a new sub-processor or replacing an existing one. Notice will be given by:
- updating this page (the version and effective date will change);
- posting an entry to the change log at the bottom of this page;
- for B2B customers under an executed Data Processing Agreement, sending an email to the data-protection contact on file.
You may subscribe to changes by sending an email to privacy@vitamedas.com with the subject “Subscribe sub-processor updates”. We may give shorter notice (including post-hoc notice) where the change is required for the security of the Service or by applicable law.
8Your right to object
B2B customers under a Data Processing Agreement may object on reasonable, documented data-protection grounds to a proposed new sub-processor by sending written notice to privacy@vitamedas.com within thirty (30) days of our notice. We will work with you in good faith to provide a commercially reasonable alternative — which may include retaining a different sub-processor for your tenant, restricting affected functionality, or providing an alternative configuration. Where no such alternative is commercially or technically feasible within sixty (60) days, you may terminate the affected portion of the Service for that customer tenant and receive a pro-rata refund of any pre-paid fees attributable to the unused remainder of the affected subscription period.
Consumer Users may withdraw consent or close their account at any time through Settings; objection rights to specific sub-processors are not contractually granted to consumer Users, but you remain free to vote with your feet.
9Liability and limitation
VitaMedas remains liable to its customers for the acts and omissions of its sub-processors to the extent required by Article 28(4) GDPR, namely as if the acts or omissions were our own. Nothing on this page expands VitaMedas’s overall liability beyond the caps set out in the Terms of Service and the Data Processing Agreement. To the maximum extent permitted by law, VitaMedas’s aggregate liability arising out of or relating to sub-processors shall be subject to the overall liability cap in the applicable Terms of Service, and VitaMedas excludes liability for indirect, consequential, special, incidental, exemplary or punitive damages, including loss of revenue, loss of profits, loss of goodwill and loss of data, except where such exclusion is prohibited by mandatory law.

Every change to this list is recorded in our version history with its date and the exact wording that changed. The change log below summarises each change. Earlier versions of the full text are available on request.
11Change log
| Date | Change | Reason |
|---|---|---|
| 17 May 2026 | v2.0 — initial public sub-processor list published. Includes Hetzner, Cloudflare, Google Gemini, Firebase Auth/FCM, Apple Sign-In, and Sigstore. A payment-services provider will be added before any paid plan launches. | Initial publication alongside VitaMedas launch. |
| 31 August 2026 | v2.1 — ElevenLabs, Inc. removed; Microsoft Corporation (Azure AI Speech) added as the text-to-speech sub-processor, processing in the EU West Europe region. | Voice synthesis was migrated from ElevenLabs to Azure AI Speech. ElevenLabs is no longer called by any code path and receives no data. |
| 1 September 2026 | v2.2 — Yandex N.V. removed; MXroute LLC added as the transactional-email sub-processor. Delivery moved from the Netherlands to the United States, and the transfer basis changed accordingly. | Transactional email was migrated from Yandex SMTP to MXroute. Yandex is no longer called by any code path and receives no data. |
| 12 October 2026 | v2.3 — Corrections, no new vendor engaged. Hetzner location corrected to Helsinki, Finland. Introduction rewritten: end-to-end encryption covers the vault only; the Vita assistant's data is readable by our server and by Google Gemini for each answer. Gemini row corrected (context sent, documents, voice, 48-hour file service). Firebase row now lists app analytics, only with consent. Telegram (internal alerts) added. Placeholder payment-provider row removed: subscriptions are sold through the App Store and Google Play, now listed as independent controllers. Sources you connect (Apple Health, Health Connect, Medicare when available) explained. | The page described the vault's encryption as if it covered everything, and some rows no longer matched how the service works. |
| 31 October 2026 | v2.4 — No new vendor engaged. Google Gemini now also reads answers aloud, and Microsoft (Azure AI Speech) became the fallback when Google's voice does not answer in time. Hospital and clinic records added as a source you connect (US accounts), with a short summary in the Gemini row. | Voice output moved to Gemini, and hospital connections went live for US accounts. |
| 3 November 2026 | v2.5 — No vendor change. Adds the missing v2.4 entry above. | This log has to hold every change. |
| 4 November 2026 | v2.6 — No new vendor engaged. Google Gemini role change: it now also reads a person's own words to find details to save and to see whether they are asking the app to change something, from iPhone app version 3.6.3. On a paid plan, Google also receives a person's earlier values for the same tests when a later report is read. | Details stated in a chat and changes made from a chat. |
