Privacy Policy for the assistant helper

Who we are
This policy covers the Vita Health Coach helper that AI assistants such as ChatGPT can call. The helper is run by VitaMedas, Inc., San Francisco, California, USA. The Vita Health Coach iPhone app has its own Privacy Policy, linked below.
What the helper does
It gives public information only: how Vita Health Coach connects hospitals, hospital portal access steps, how to request records from a hospital's records office, a hospital discharge checklist, questions to ask about a blood test, and printable sheets.
It has no sign-in and no account. It asks only for a hospital name or a test name. It does not ask for, and has no use for, names, dates of birth, results, conditions, medicines or logins. Please don't send them.
What we receive and what we keep
We don't keep the words you type. For each use we keep a count: which tool was used and when, and which hospital or test on our own public list it matched, if any.
Your assistant also shares, with each use, a rough location (country and state or region, never a city or an address), a language, and anonymous IDs it creates for you and for the conversation. We keep the country and the language. In the United States we also keep the state, and we scramble the IDs again with a secret key and keep only that result, so we can count how many people use the helper and how many come back. Outside the United States we keep no ID and no region at all. We can't tell who you are from what we keep, and it is never linked to a Vita Health Coach account.
Links in an answer that open our own website carry a tag saying they came from the helper. The site counts that visit anonymously, with no cookie.
Our web server and our network provider keep routine access logs for security, such as the IP address, the time and the address requested. Those logs don't include the hospital or test name.
Why we keep it
Only to see how the helper is used, keep it working and secure, and improve it. We never sell it, never use it for advertising, and never use it to train AI.
How long we keep it
Usage counts: about 13 months, then deleted. Access logs on our server: about 14 days.
Who else handles it
No one buys or receives it from us. Our servers are run by Hetzner Online GmbH in Helsinki, Finland. Cloudflare, Inc. carries the traffic to protect our network. Both act on our instructions.
The assistant you use has its own privacy policy, and it decides what it sends us. Links in an answer can open other websites, such as a hospital's, with their own policies.
Your choices
You can use the helper without giving any personal or health details. Because we keep no name, contact or account, we can't find one person's counts. You can still write to us with any question or request, and we will answer within 45 days.
Children
The helper is meant for adults. We don't knowingly collect information from children.
Changes
If we change what the helper receives or keeps, we update this page and its date before the change takes effect.
